What we collect
Booking details. When you book a call at https://meeting.careerpilot.fyi, we receive what you submit there, such as your name, email address, and any note you add.
Emails and messages. If you write to us, we keep the message and the contact details in it.
CV and career information. If you become a client, we use the CV and career information you supply. That includes your work history and the role, income, and other requirements you share so we can run the search.
Site analytics. If you click Accept on the cookie banner, we load Microsoft Clarity. Clarity records how the site is used, such as pages and clicks. It loads only after you accept, including on a later visit when that choice is already saved. Decline loads nothing.
Cookies and local storage
We store your Accept or Decline choice in your browser under the name cp-consent. That record is how we remember whether Clarity may load. It is used to honour your choice, not to advertise to you.
If you use the theme switch, we also store that preference under cp-theme. It only changes the appearance of the site.
After you accept, Microsoft Clarity may set its own cookies to measure site use. You can refuse those cookies, or withdraw consent later, with Cookie settings in the footer. The rest of the site works either way. This is how we meet the Privacy and Electronic Communications Regulations (PECR): non-essential cookies and similar storage are used only with your consent.
Why we use it
To arrange a call you book, and to provide the managed executive search if you become a client. The lawful basis is contract. The information is needed for steps you ask us to take before a contract, and then to perform the service.
To read and reply to emails and messages, and to keep the site available and secure. The lawful basis is legitimate interests: responding to people who contact us, and running a reliable site. You can object. We will stop unless there is a compelling reason to continue.
To understand how the site is used, with Microsoft Clarity. The lawful basis is consent. You can refuse, or withdraw consent later, and the search service is unaffected.
To remember the cookie choice in cp-consent. The lawful basis is legitimate interests: recording the choice so we can follow it, which is also how we comply with PECR.
We do not sell personal information.
Who we share it with
Other companies process some of this information for us:
- Microsoft Clarity, for behaviour analytics, and only after you consent. Microsoft explains its own handling in its privacy statement.
- The scheduling provider that runs https://meeting.careerpilot.fyi, so a call can be booked.
- Netlify, which hosts this website. Its policy is at netlify.com/privacy.
- Our email provider, which carries messages we send and receive.
We may also share information when the law requires it, or when it is needed to protect someone’s rights or safety.
International transfers
These providers may process personal information outside the United Kingdom. Where they do, UK GDPR requires a transfer safeguard. We rely on an adequacy regulation where one covers that provider, or on a contract such as the UK International Data Transfer Agreement, including the Addendum to the EU standard contractual clauses.
How long we keep it
Your cookie choice stays in the browser until you change it in Cookie settings or clear the site data.
Analytics collection stops when you withdraw consent. Information Clarity has already received is kept for the period Microsoft applies.
Booking details, messages, CVs, and career information are kept while we work with you, and for a limited time afterwards so we can answer follow-up questions and meet legal duties. We then delete them or remove what identifies you.
Your rights
Under UK GDPR you can ask us for:
- Access: a copy of your personal information.
- Rectification: a correction if something is wrong.
- Erasure: deletion, where the right applies.
- Restriction: a limit on how we use it.
- Portability: a portable copy, where the information was given to us and is processed by automated means on the basis of consent or contract.
- Objection: an objection to processing based on legitimate interests.
- Withdrawal of consent: you can take back consent at any time. Use Cookie settings for analytics, or email us. Withdrawal does not undo use that was already lawful.
Email robi@recruitmateai.com. We reply within one month. We may ask you to confirm who you are before we act.
Complaints
You can complain to the Information Commissioner’s Office (ICO), the UK regulator for personal information:
- Website: ico.org.uk
- Telephone: 0303 123 1113
You can write to us first. You do not have to.
Children
The service is for people seeking executive work. It is not directed at children, and we do not knowingly collect their personal information. If you believe we have, email robi@recruitmateai.com and we will delete it.
Changes
We may update this policy. The date at the top of the page will change when we do. If a change materially affects how we use personal information, we will say so on this page.
